Overview
The Availability Quick View identifies issues with your external availability, reservations offered through your Reservation Widget, Google Reserve, third-party booking Booking Channels and Custom Audiences, and offer clear solutions within your Settings to resolve them. Availability is broken out by party size and reservation time to show whether there are available reservations for that search. This will assist you in real-time troubleshooting of availability issues and uncovering issues you were unaware.
Accessing Quick View
- Log into the SevenRooms web portal
- The Quick View is accessible in two places: Navigate to Reservations > Availability Quick View or Settings > Availability
Filters
Filter the report by the following details:
- Date: the specific date you'd like to see availability details for (e.g., you want to check that the new Access Rule you set up for Mother's Day is returning appropriate availability)
- Audience: choose a Direct Booking Channel or Custom Audience to see availability details (e.g., you want to check that your VIP Custom Audience is returning appropriate availability)
- Access Rules: choose a specific Access Rule to see availability for (e.g., you want to check that your Large Party Access Rule is returning appropriate availability for parties of 8-12)
- Seating Area: choose a specific Seating Area available on the Access Rule to see availability details (e.g., you want to check that your Patio Seating Area is returning appropriate availability on your Spring/Summer Access Rules)
- Duration Picker: this is only relevant for Access Rules that use the Duration Picker
Time Slots
The report is displayed as a grid view, with party sizes on the left side and time slots across the top.
Green Time Slots: Available
If the time slot is green, you have reservations available externally for that party size and reservation time. In the example below, you can see that reservations for parties of nine between 3:30 PM and 6:30 PM are available.
Red Time Slots: Not Available
If the time slot is red, you do not have reservations available externally for that party size and reservation time. In the example below, you can see that reservations for parties of nine between 6:30 PM and 11 PM are unavailable.
Grey Time Slots: Inactive
If the time slot is grey, you do not have a Shift that includes that party size and reservation time, therefor you do not have any reservations available externally for that time. (This may be purposeful and can be ignored, or you may not have realized that a Shift needs to be activated.) Time slots in the past will also display as grey. In the example below, reservations for parties of nine between 3:00 PM and 3:30 PM do not have an active Shift configured.
If you click into the grey time slot, you'll see the following error message and can click Manage Shifts to activate a Shift.
Detailed Time Slots
Click into a red time slot to see more details. Not Available time slots will show the following details:
- Number of Access Rules do not match the search criteria
- Which Access Rules do not match the search criteria and why
- Tables that match the criteria but have other restrictions
- Tables that do not match the search criteria and why
- Table Combinations that match the criteria but have other restrictions
- Table Combinations that do not match the search criteria and why
Access Rule Details
Click into a red time slot to see why the slot is unavailable on the Reservation Widget for each Access Rule. Expand each Access Rule to see:
- The explanation and likely root issue of an unavailable time slot
- If there are issues with Tables or Table Combinations.
- Expand to see a detailed list of tables or combinations and the corresponding restriction
- Click Manage Tables or Manage Table Combinations to edit the capacities if needed
Tables That Match Search, but Have Other Restrictions
This message shows Tables that match the search criteria along with the reason there isn't external availability for them. Click the bolded message to see the list of Tables. Then, click the Table name to see the Reservation assigned to that Table.
Click Manage Tables to be directed to Settings > Tables to adjust the Minimum/Maximum Party Size and Seating Area for the Table if that Table should in fact be available and requires adjustment.
Tables That Do Not Match Search Criteria
This message shows Tables that do not match the search criteria and the reasons why. In the example below, some Tables are not active on the Shift, and some Tables do not match the criteria at all (in this case, due to party size).
Click Manage Tables to be directed to Settings > Tables to adjust the Minimum/Maximum Party Size and Seating Area for the table if that table should in fact be available and requires adjustments.
Table Combinations That Match Search but Have Other Restrictions
This message shows a list of Table Combinations that match the criteria, but one or more Tables in the combination has other restrictions. Reference the specific Table restrictions returned in the section above. Click the expand arrow to see the Table Combinations, and click into each combination to see the Reservation assigned to those tables.
In the example below, the list of Table Combinations do include parties of nine, but there are other factors restricting them from being available externally.
Table Combinations That Do Not Match Search Criteria
This message shows a list of Table Combinations that do not match the search criteria. In the example below, you can see the Table Combinations configured do not include parties of nine which is why they do not match the search criteria for a party of nine.
Click Manage Combinations to be directed to Settings > Table Combinations to adjust or add Table Combinations that may be missing or are not configured properly, to allow reservations for this party size.
